Earning Codes: Contributes to annual earnings

Background: Previously Annual Estimated Earnings were calculated by annualizing all regular earning codes and summing the results. This approach often overstated employee earnings since not all codes should contribute to annualized totals. Accurate annual earnings are essential for ACA reporting and benefit eligibility calculations, making this enhancement an important accuracy improvement.

What’s New?

We have introduced new functionality that allows clients to precisely define which earning codes contribute to Annual Estimated Earnings.

Key features include:

  • Code-Level Control:
    • At the master code level, clients can mark which earning codes contribute to annual estimated earnings.
    • At the employee level, clients can choose to use the master code setting or manually set the code to Yes or No.

  • Bulk Management via Excel:
    • The Pay Code Excel import has been updated to include this setting, allowing clients to bulk assign or update contribution flags and reimport them into the system.

  • Enhanced Employee Code Setup:
    • A new Estimated Annual Earnings display has been added to the employee code setup.
    • Selecting See Details shows:
      • Which codes contribute to the calculation
      • Year-to-date earnings
      • Last check date
    • The annual earnings value is editable, allowing clients to override the calculated total if needed.
    • Any overridden value persists until changed or cleared; saving with a blank value will restore the system’s calculated total.
    • When overridden, both the manual and calculated amounts will display for full transparency.

  • Integration with Benefits:
    • The updated Estimated Earnings values now flow into the Benefits module, improving accuracy for ACA reporting and benefit calculations.

This enhancement provides far greater control and transparency over how annual earnings are calculated and reported.

Reports: Add submitter info to GL Batch Summary Report

Background: Clients with multiple payroll administrators who export or send General Ledger transactions to their ERP systems often had difficulty determining which admin submitted a given batch. When issues or corrections were needed, this lack of visibility made it challenging to track responsibility and troubleshoot efficiently.

What’s New?

We’ve added two new fields to the General Ledger Batch Summary Report to improve tracking and accountability:

  • Submitted By – Displays the name of the administrator who submitted the GL batch.
  • Submit Date – Shows the date when the GL batch was submitted.

These new fields make it easier to identify who submitted each batch and when, helping clients resolve issues faster and maintain clearer audit trails for ERP integrations.
