Payroll: Additional Info for Positive Pay Files
Background: We’ve recently completed several updates to improve the usability of the Positive Pay File Details Report. These changes are designed to make it easier to access key details about positive pay files without extra steps.
What’s New
We’ve added three new data points to the Positive Pay File Details Report:
- Total Amount: Displays the total net wages in the positive pay file, shown above the data grid once the report is run.
- Downloaded By: A new column in the pay run selector that shows who last downloaded the file.
- Last Action: A new column in the pay run selector showing the date and time of the most recent download (blank if the file has never been downloaded).
These enhancements give you a clearer view of your positive pay files at a glance and help streamline payroll processing.
Reporting: New Employee Time Off Details Report
Background: Payroll clients who were not using the Greenshades Time Off module had limited visibility to employee time off details. The only report available, the Employee Time Off Summary Report, did not track manual edits, which often required support tickets to investigate balances, accruals, and usage. Over time, we’ve received many requests for a more detailed report to address these needs.
What’s New
We’ve introduced a new Employee Time Off Details Report that provides deeper insight into employee time off, including:
- Key employee information such as years of service, hire/rehire dates, and pay period dates
- Row-level detail per employee, per code, per check
- This report can also include manual edits, showing each adjustment to balances
Manual edits are tracked using an observed date. If a row does not display a Check Date or Pay Period Start/End Date, it represents a manual adjustment made to the employee’s balance, either via import or directly in the employee management screens.
This new report makes it easier to track accruals, usage, and manual edits, reducing the need for support inquiries and providing greater transparency into time off management.
General Ledger: Add an Import/Export Experience for Account Mapping
Background: The Greenshades Implementations and Support teams have long had access to a tool for importing General Ledger mappings, while clients could only add, remove, or update mappings manually one at a time. For clients who frequently update codes, locations, departments, or other information, this manual process was time-consuming and often required support assistance.
What’s New
We’ve made the General Ledger mappings import tool available directly to clients in-product from the General Ledger settings page. The import behaves exactly as it has in the past, using the same template and functionality, but now clients can update mappings in bulk on their own, without needing to contact Support.
This enhancement gives clients greater control and efficiency when managing their General Ledger mappings.
Earning Codes: Allow Piece Rate for Uncalculated Overtime/Double Time
Background: Greenshades has long supported piece rate earning codes as well as uncalculated overtime/double time. However, these options could not be combined, which created challenges for clients who needed to create shift differential or premium codes that are both per-unit and uncalculated overtime/double time. Attempting to use these separately often led to errors when payable charges from external systems were processed.
What’s New
We’ve enhanced earning code setup to allow clients to use both the Uncalculated Overtime/Double Time earning category and the Per Unit rate type simultaneously. This update provides greater flexibility in setting up codes and eliminates errors when processing payable charges coming to Greenshades from other systems.
