The Employee Identity (SSN) Verification Tracker in Dynamics Payroll Inspector compares employee names and Social Security Numbers (SSNs) against the Social Security Administration (SSA) database to ensure identity accuracy. This helps prevent payroll discrepancies and compliance issues.
Viewing verification results
After running the tracker, if mismatches are detected, the tracker enters an alert state. Select Fix Now to launch the Resolution Wizard and begin reviewing flagged employee records.
Interpreting results in the resolution wizard
The wizard displays each employee whose SSN and name combination does not match SSA records. This may be due to a typo, outdated record, or actual data mismatch.
For each flagged employee, you may:
- Edit either the name or SSN if you discover an error.
- Select Update Dynamics to apply the corrected record to Dynamics GP.
Note: Due to changes made by the Social Service Administration, all verifications can take up to 3 business days for results.
Re-verification after corrections
Once changes are applied and saved, the widget will re-inspect the updated employee data during the next scan. If the corrected combination matches SSA records, the issue will be resolved.
Birthdate validation option
The Employee Identity widget can optionally validate birth years in addition to SSNs and names. Note that the SSA only confirms the birth year, not the exact birth date. This setting is enabled or disabled from the widget’s configuration screen.
Best practices and note
- Use accurate and official documentation when editing names or SSNs.
- If the same record continues to flag after correction, consult with HR to confirm the employee’s identity.
- The tracker does not offer suggested changes; employees will need to be reviewed and manually updated if issues are found.
- Changes made via the wizard are immediately saved back to Dynamics GP.
