Setting up the employee experience

First, navigate to Settings > New Hire Onboarding, and select New.

In the New Hire Onboarding Workflow section, enter a unique value in Workflow Name. This will enable you to easily identify different workflows. A different workflow can be setup for new hires that require specific information gathered or assigned to them, and should be as granular as needed. For example, a "Full-time CA ICU Nurse workflow" can assign the correct employment information (e.g., work locations, department, supervisor, etc) while also showing the applicable documents that may be required for the new hires position. The information in "Default Values" can also be manually assigned or updated in the Onboarding approval step.

 

In the Default Values section, you can set defaults for certain fields. This saves time and makes sure the correct information is displayed to employees. For example, if the employee works and has their location defaulted to New Jersey, the W-4 document will recommend the employee fill out the New Jersey withholding form. Your HR Documents may be setup to be completed by employees of a specific Position, Location, Class, etc. Setting the default value ensures the the employee will be able to see the document when they get to that step.

Employee data under Default Values can also be manually assigned or updated in the Onboarding approval step.

In the Required Steps section, you can choose which steps an employee must complete before submitting their workflow. Basic information and Notification options are always required. If a step is not included in the workflow, an employee will still be able to complete it as normal when they start using Green Employee.

Any custom documents added to the workflow will only display to employees if they meet the applicability criteria of that specific HR Document.

Adding tasks for admins

If you navigate to Settings > New Hire Onboarding > Tasks, you can set up activities that administrators will need to complete after approving a workflow. In the Tasks section, you can assign these activities to the workflow. In a "Hourly Full-time Developer" workflow, I may want to add a task of IT ships developer computer. The task can be tracked an managed after the Onboarding is approved. 

Select Save to finalize your changes.
