Greenshades understands that negative checks are handled differently from company to company. Therefore, we offer a way to customize how negative checks from your accounting package interact with the Greenshades system. To access these options, navigate to Settings > Negative Check Options within your Greenshades workspace.
This page will allow you to tailor the options to fit the way your company creates negative checks, as well as Re-issued checks. You are able to use any combination of the options listed, as well as none at all if you prefer to manage your negative checks manually via Review Negative Checks screen within Tax Service settings.
Using Support Re-Issued Checks
Checking this option will direct Greenshades to classify a negative payroll check as an attempt to re-issue a prior check, if it also sees a positive check issued to the same employee on the same day with the exact same gross wages. In these cases, Greenshades will always include all transactions from the negative check (including negative transactions) when calculating liabilities. Greenshades will not alter the liability date on these transactions. If a negative check is determined to be an attempt to re-issue, then this logic will override the other settings related to supporting negative adjustments or including other negative checks.
In the example above, the negative check and the positive check seen on 4/5/2018 will together be seen as an attempt to re-issue an earlier check (show as well from 2/8/2018). If Support Re-Issued Checks option is selected, then this negative check will be included (regardless of other settings chosen), and its transactions will have liability dates of 4/5/2018. Assuming the transactions were the same, this will cancel out the re-issued check and result in no additional tax liability for April.
Using Support Negative Adjustments
If this option is checked, Greenshades will attempt to match negative checks to prior, positive checks based on criteria you provided. When a match is found, Greenshades will alter the negative check's liability dates to match the positive check. This will ensure that their tax liabilities are applied to the same reporting period (based on the prior check's date). This option will never apply to any checks that have been previously classified as a re-issued check.
In the example above, two checks with the same check number have been issued for the same employee, the later of which was a negative check. Depending on matching criteria specified, this negative check will be classified as an attempt to adjust the prior check. The liability date for the negative $1.00 of wages (and all other transactions on that check) will be considered 5/31/2018, reducing the original liability on that date. No negative liability will be associated with 6/3/2018.
Once you Save your options, the changes will take immediate effect within Greenshades. To preview how this has changed your totals, select Update on the right side of the screen, and it will populate your totals in real time.
After the update, you will see a monthly breakdown of your totals.
Should you have any negative checks that fall outside of the guidelines you have set, you still have the option to mark a negative check as included in any check date via the Review Negative Checks within within Tax Service settings.
